Most details will be requested when an order is placed, or when an enquiry is made though the website. Some information is collected from email enquiries, phone calls, or through social media (via personal messaging, never through public pages).

How we use your information

The details above are needed so that we can communicate with you, fulfil your request for our products, process financial transactions, to deliver your products, and answer your queries effectively. We store information on our accounts system for 6 years after the date of invoice in accordance with HMRC record requirements. The accounting system is via an on-line accounting software system, which is password protected, secure, subject to GDPR and has its own Data Protection Statement which can be provided if requested.

Our lawful basis for processing this personal information is ‘contract’. We have a legal reason to ask you for your data as we need it for contractual reasons. (to process and complete your order). You do not have to share your personal data with us, but if you do not, we cannot effectively provide our service to you. You must fulfil your side of the contract (share your personal information) in order for us to fulfil ours (carry out work). If you order from us, we store messages on password protected systems.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

We keep paper copies of orders and your personal information in a dedicated office. The building is alarmed and only authorised personnel enter the office. The paper-based information we keep relating to orders will be destroyed and electronic copies deleted in line with HMRC regulations. We keep emails for the purpose of providing you with support. These are also password protected. We keep enquiries via our website on our email system which is password protected. We do not use this information for any other purpose than contacting you regarding your enquiry. These are not used for any marketing purposes and no details are passed to 3rd party organisations or sold to any other individuals. We may share details with third parties who are contracted to process orders on our behalf. We will ensure they have sufficient policies in place to protect your personal information, and can provide copies of their data protection and GDPR statements if required.

Currently, we do not undertake marketing strategies that use your personal information, however, we may contact you if we believe that you may be interested in new products. This situation may change in the future, and the data policy will be updated accordingly.
